Podio is the work management platform, now part of Progress, where teams build apps, workspaces and workflows. It calls two-factor authentication two-step verification. It's optional: each person turns it on for their own Podio user account, and the only method Podio documents is a code from an authenticator app (Podio). There's no text-message option.

One thing sets Podio apart, and it's worth knowing before you start. If you lose both your authenticator and your recovery codes, Podio's help says plainly that "your Podio account will be permanently locked," and that its Support team can't unlock or recover it under any circumstances (Podio). So the recovery codes in step 6 below matter more than usual.

This guide uses Authenticator App - Novaz on iPhone. Any authenticator app works the same way.

How we checked this guide: the Podio steps come from Podio's own documentation, now hosted on progress.com, including its screenshots, linked below, which we read on October 21, 2026. We haven't tested them on a Podio account, so a label may differ slightly. The Novaz steps are checked against the app, version 1.0.5.

Turn on two-step verification

Podio's documentation describes these steps for the web app (Podio):

  1. In Podio, click your profile icon at the top right, then Account Settings.
  2. Next to Two-step verification, which shows Disabled, click enable two-step verification.
  3. The Enable Two-Step Verification window shows a QR code. In Novaz, tap +, then Scan QR code, and point the camera at it. If Podio is open on the same iPhone, take a screenshot and use Choose a photo instead. See scanning a QR code on the same iPhone.
  4. If you can't scan it, click Can't scan code? under the QR code. Podio shows a text key. In Novaz, tap +, then Enter key manually, type a name such as Podio as the Service and paste the key as the Setup key. See What is a 2FA setup key?
  5. Type the code Novaz shows into the Enter code here box and click Continue.
  6. The Download Recovery Codes window appears. Click Download or Copy and store the codes somewhere other than your phone.
  7. Tick the two boxes that confirm you can't see these codes again and that there's no backup for them, then click Enable.

Podio's documentation doesn't say how many digits its codes have or how often they change. Scanning the QR code is the safer route, because the code carries those settings to your app. A key typed by hand always gets 6 digits every 30 seconds.

Recovery codes are Podio's only fallback

Podio's recovery codes let you sign in when you can't reach your authenticator. Each one works once. Podio won't show the same set again later (Podio).

If the phone is lost and you have no Novaz backup, these recovery codes are your only way back in to Podio, so keep them in a password manager or on paper in a safe place. When you've used most of them, Podio's way to get a fresh batch is to turn two-step verification off and on again from your settings. More in 2FA backup codes.

Signing in afterwards

Once it's on, Podio asks for a new code from your authenticator app every time you log in. The documentation doesn't mention a way to remember trusted devices.

Podio also offers other ways to sign in. Organizations on paid plans can require employees to log in through Google or Microsoft single sign-on, which blocks the Podio password for those users (Podio). The mobile apps offer sign-in with ShareFile, Google, iCloud or Microsoft (Podio). Podio's documentation doesn't say whether its own two-step code is asked for on those routes.

If Podio rejects your code

Podio's documentation has no troubleshooting advice for wrong codes. The usual cause is the iPhone's clock: open Settings > General > Date & Time and turn on Set Automatically. Novaz warns you when the clock is 15 seconds or more off. For other causes, see Authenticator code not working?

Moving to a new iPhone

If you have a Novaz iCloud backup or backup file, restore it on the new iPhone and Podio comes with it. Otherwise you set Podio up again on the new phone. Podio's documented way to register a new authenticator is to disable two-step verification and enable it again, which also gives you new recovery codes (Podio). Do it while the old phone still works. The documentation doesn't show the labels for turning it off, so look next to Two-step verification in Account Settings. See How to transfer your authenticator app to a new iPhone.

If you lose your authenticator

  1. On the code screen at sign-in, click Verify using a recovery code and enter one of your saved codes.
  2. Once you're in, disable and re-enable two-step verification to connect a new authenticator and get a new set of codes.

Without a recovery code, there's no documented way back. Podio's help says its Support team can't unlock or recover the account. A password reset at podio.com/user/recover only covers a forgotten password (Podio), and the documentation doesn't say it gets you past two-step verification. Podio's general support runs through chat in its Help Center, which now lives on ShareFile's support site (Podio), but don't count on it for a lost authenticator.
