Planfix is a work-management platform for tasks, projects and CRM, run as one shared account for your company. So two-factor authentication (2FA) isn't only your choice: the account's administrators pick a policy that makes it off, optional or required for you (Planfix).

The only method Planfix documents is a one-time code from an authenticator app. Its help names Google Authenticator, but the codes are standard 30-second codes (Planfix), so other apps should work too. This guide uses Authenticator App - Novaz on iPhone, but any authenticator app works the same way.

How we checked this guide: the Planfix steps come from Planfix's own help pages, linked below, which we read on October 21, 2026. The pages don't show a date. We haven't tested them on a Planfix account, so a label may differ slightly. The Novaz steps are checked against the app, version 1.0.5.

What your admin's setting means for you

The policy lives under Account management > Account security > Two-factor authentication, and only admins can change it (Planfix). For employees there are four modes:

  • No employees can use this type of authentication: no option for you.
  • All employees can use this type of authentication: the default. You can turn 2FA on or off yourself.
  • All employees must use this type of authentication: Planfix asks you to set it up the next time you sign in.
  • Only selected employees or groups must use this type of authentication: the same, but only for the people or groups the admin chose.

Clients have separate modes, off by default. Only the primary account admin can require 2FA for the whole account; other admins can require it for individual employees.

Turn on 2FA with an authenticator app

If your admin left the default mode on, you start it yourself (Planfix):

  1. Open your own user profile: click the Online Now icon in the upper-right corner, and your account is first in the list (Planfix).
  2. Go to the Account security tab. One help page calls it the Security tab, so the label may differ slightly.
  3. Click Enable. Planfix then asks you to install an authenticator app and register your phone.
  4. In Novaz, tap +, then Scan QR code, and point the camera at the code Planfix shows. If the code is on the same iPhone, take a screenshot and use Choose a photo. See scanning a QR code on the same iPhone.
  5. If Planfix gives you a key to type instead, tap +, then Enter key manually, and type it as the Setup key. See What is a 2FA setup key?
  6. Finish the prompts Planfix shows to link your phone. If it asks for a code, type the current one from Novaz.
  7. Save your backup passwords straight away (next section).

Planfix's help doesn't describe the registration screen, so it doesn't say whether you'll see a QR code, a text key, or both. If 2FA is mandatory for you, registration starts on its own at your next sign-in.

Save your backup passwords

Planfix calls its backup codes backup passwords. You find them on the Account security tab of your profile, where you can save them to a file or print them. If you think someone has seen them, or you've used them all, you can generate new ones (Planfix).

Unless you've turned on Novaz's iCloud backup or exported a backup file, the keys are only on your iPhone, so these passwords are your way back in if it's lost. Keep them away from your phone. More in 2FA backup codes.

Signing in, and the mobile app

In the web version, you enter a code from your authenticator app at sign-in, after your username and password (Planfix).

The Planfix mobile app works differently. Instead of an authenticator code, it asks for a one-time app password, which you get in the web version of Planfix. The app then keeps you signed in indefinitely. If your phone goes missing, delete that session from the Session management tab of your profile (Planfix).

If Planfix rejects your code

Planfix suggests the time-correction setting in Google Authenticator (Planfix). Novaz uses the iPhone's clock, so check that instead: Settings > General > Date & Time > Set Automatically. Novaz warns you when the clock is 15 seconds or more off. Other causes are in Authenticator code not working?

Changing phones or losing your authenticator

Planfix doesn't describe a transfer. If you have a Novaz iCloud backup or backup file, restore it on the new iPhone and your Planfix codes keep working. Otherwise, while you can still sign in, turn 2FA off and on again with the new phone. If it's mandatory, an admin can use Change key to reset it, and you set it up again at your next sign-in (Planfix). See How to transfer your authenticator app to a new iPhone.

If the phone is gone:

  1. Sign in with one of your backup passwords, then register Novaz again.
  2. Without backup passwords, ask your Planfix account administrator. They can turn off 2FA for you, so you sign in with your username and password (Planfix).
  3. If you're the administrator and you're locked out, write to Planfix Support. Planfix runs a check before restoring access but doesn't say what proof it wants or how long it takes (Planfix).

Turning 2FA off

If the policy allows it, turn it off on the Account security tab of your profile with a code from Novaz or a backup password. Admins can do it from a user's card. When 2FA is required for the whole account, it can only be reset (Planfix). Then, in Novaz, open the account and tap Remove account.
